Overview
I am seeking a highly organised and proactive Personal Assistant for a 6 month FTC to provide comprehensive administrative support to our executive team. The ideal candidate will possess excellent communication skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. This role offers an opportunity to work in a dynamic environment where professionalism and discretion are paramount. The successful applicant will be responsible for streamlining daily operations, managing schedules, and ensuring smooth organisational functioning.
Duties
- Manage and maintain executive calendars, scheduling appointments, meetings, and travel arrangements.
- Prepare and organise documents, reports, and correspondence using Microsoft Office and Google Workspace tools.
- Handle incoming calls with professional phone etiquette, screening and directing calls as appropriate.
- Conduct data entry tasks with accuracy using programmes using relevant software.
- Assist with organising meetings, including booking venues, preparing agendas, and taking minutes.
- Maintain filing systems both digitally and physically to ensure easy retrieval of information & support with personal errands or tasks as required by the executive team.
- Perform general administrative duties such as organising emails, managing contacts, and processing invoices.
- Ensure confidentiality of sensitive information and professionalism at all times.
Experience
- 7+ years previous administrative experience is essential, ideally within an office environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive).
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent typing speed and data entry skills for efficient document processing.
- Familiarity with office procedures including filing systems and clerical practices.
