Position: Personal Assistant (9-Month fixed term Contract)
Location: Cork City
Salary: €40,000 - €45,000 (Depending on Experience)
Responsibilities:
Meeting Coordination:
- Proactively manage daily calendars for multiple business partners, fostering relationships for effective schedule coordination.
- Organize large, complex meetings at various locations, handling logistics, such as scheduling conference rooms, setting up equipment, and arranging catering.
Travel and Expenses:
- Coordinate and arrange travel, including complex international and multi-city trips for business partners.
- Manage passport and visa requirements for international travel.
- Process complex expense reports, ensuring accurate reconciliation of corporate and personal credit accounts used for business purposes.
Additional Support/Expectations:
- Quickly adapt to changes in administrative processes and business partner alignments.
- Provide guidance to non-supported business partners, enabling them to perform administrative tasks independently.
- Attend business meetings to understand priorities and actively participate in team meetings.
- Create, edit, and manage documents, spreadsheets, presentations, group lists, and collaboration sites.
- Assist in pre-boarding and onboarding activities for new employees as directed by the manager.
- Identify innovative techniques to enhance team productivity.
- Serve as a backup for other administrative assistants during workload peaks or office absences.
- Handle additional administrative support and special projects as assigned by the Manager.
