Our Client is seeking an adaptable, highly organised, and proactive Accounts Administration Co-ordinator to join their team in West Cork. This is an urgent, dual-focus position requiring a candidate with a short notice period or immediate availability. The role is heavily weighted towards commercial financial support-focusing primarily on quotation assistance, budgeting, pricing, forecasting, purchase order balance adjustments, and invoicing support-alongside general operational administration.
Responsibilities
Allocate 75% of duties toward quotation support, budgeting, pricing structures, forecasting, managing purchase order balance adjustments, and supporting invoicing processes.
Process supplier and sub-contractor invoices, reconcile vendor statements, resolve billing discrepancies, and prepare payment runs.
Issue client billing and actively monitor the aged debtors ledger to ensure prompt debt collection.
Maintain professional and firm communication with residential and commercial clients regarding outstanding accounts.
Review, track, and log sub-contractor documentation, including public and employer liability insurance policies.
Ensure all field personnel hold active safety passes and relevant technical certifications prior to site deployment.
Match receipts, site expenditures, and timesheets back to specific project codes to preserve budget accuracy.
Handle incoming calls, web enquiries, and general office visitors in a professional manner.
Manage office documentation, digital files, and general office supplies to maintain an organized working environment.
Requirements
Proven experience in a combined financial accounts and administrative role, preferably within the construction, engineering, or trades sectors.
Solid baseline knowledge of quote assistance, project pricing, budget tracking, and forecasting support.
Working knowledge of standard bookkeeping workflows, including sales ledger, purchase ledger, and payroll processes.
Familiarity with Ireland's trade compliance standards, including safety pass tracking and sub-contractor insurance verification.
Practical experience using accountancy platforms such as Sage, Xero, Surf Accounts, or similar software.
Proficiency in Microsoft Office, particularly Microsoft Excel, with the ability to adapt to custom tracking tools.
Strong communication skills, an effective approach to credit control, and the ability to multitask in a busy environment.
