Account Administrator - Wealth Management - Toronto, ON
A leading investment management firm with over $6B in assets under management is hiring an Account Administrator to join their team. Renowned for delivering tailored wealth management and investment strategies to high-net-worth individuals and families, this firm continues to grow rapidly.
The Account Administrator will be part of a team providing administrative support and client administration for both a wealth management firm and a division of the firm. This role will report to the Chief Operating Officer. This is an exciting opportunity for a motivated professional to make a direct impact in a fast-evolving, growth-oriented environment.
Responsibilities
CRM & Client Data Management
- Maintain accurate client records in Harmony and Salesforce, including updates to addresses, banking, and beneficiaries.
- Complete daily mapping of newly opened accounts and ensure data consistency with custodians.
Account Opening & Transfers
- Manage the full account opening process for new and existing clients, ensuring timely completion and issue resolution.
- Handle asset transfers end-to-end with strong attention to detail, liaising with custodians (NBIN) and external institutions.
- Build and maintain relationships with brokers, banks, and other financial partners.
Client Support & Portal Assistance
- Provide professional client support via phone and email, guiding users through the client portal and resolving technical issues.
- Escalate complex cases appropriately and maintain thorough records of all client interactions.
Additional Responsibilities
- Prepare corporate tax packages and assist with quarterly statement mailings.
- Provide coverage for the Portfolio Administrator and Front Office as needed.
- Support various operational and administrative projects as assigned.
Skills & Qualifications
- Post-secondary education or equivalent experience.
- Canadian Securities Course (CSC) completion preferred.
- Minimum 2 years' experience in an administrative, client-facing role; financial services experience an asset.
- Strong verbal and written communication skills with a professional, client-focused demeanor.
- Exceptional attention to detail, organization, and ability to manage multiple priorities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with Harmony, Salesforce, and NBIN custodian platforms considered an asset.
