A world-renowned global conglomerate in entertainment, media, and technology is seeking a Haken Executive Assistant to act as the operational "hub" for a busy department in Tokyo. This hybrid role combines high-level executive support with proactive coordination of team-wide administrative systems. Key Responsibilities
- Manage schedules and coordinate appointments for executives and management (internal and external)
- Set up meetings including room booking and online meeting preparation
- Handle guest reception, phone support, and professional email correspondence
- Arrange business travel and support expense reimbursement processes
- Support creation and compilation of documents and internal materials
- Provide business support and operational assistance for the entire department
- Process invoices and manage administrative workflows related to contracts and internal approvals
- Maintain accurate data management, lists, and progress tracking
- Support onboarding and administrative setup for new team members
Required Skills and Qualifications
Experience:
- 3+ years of practical experience in administration, general affairs, secretarial work, or similar roles
- Basic PC skills including Word, Excel, and PowerPoint
- Strong coordination experience with both internal and external stakeholders
- Work experience using English, including email correspondence
Soft Skills:
- Proactive mindset with strong ownership and the ability to anticipate needs
- Strong multitasking and organizational skills in a fast-paced environment
- High attention to detail and strong interpersonal communication skills
Language Requirements:
- Japanese: Intermediate to Business-level proficiency
- English: Intermediate to Business-level proficiency
Preferred Skills & Qualifications
- Experience as an Executive Assistant or Department Assistant
- Experience working in foreign financial institutions
