We are seeking a proactive, professional Legal PA to join our Corporate Practice Group in Dublin. This role is pivotal in providing high-level, confidential support to a designated group of stakeholders within a fast-paced, global legal environment.
The ideal candidate is an assertive communicator who thrives on taking ownership of tasks and anticipating the needs of a busy legal team.
Key Responsibilities
- Stakeholder Engagement: Act as a primary liaison for internal and external clients. Conduct regular check-ins with stakeholders to manage priorities, draft correspondence, and handle queries during absences.
- Mailbox & Diary Management: Proactively manage complex calendars and coordinate international travel, resolving scheduling conflicts before they arise.
- Workflow Coordination: Own the end-to-end process for stakeholder requests. Delegate tasks effectively to specialized billing, finance, and document production teams.
- Document & Matter Management: Handle urgent document edits and oversee the full client/matter lifecycle, including electronic filing and compliance procedures.
- Financial Admin & Marketing: Coordinate billing and expenses, assist with the creation of impactful pitch presentations, and organize client events and digital working lists.
- Process Improvement: Champion the use of new technologies and advocate for workflow efficiencies to drive productivity.
What We're Looking For
- Professional Experience: Previous experience in a similar professional services or legal environment is essential.
- Exceptional Communication: The ability to convey information clearly and professionally to senior stakeholders and clients.
- Proactive Problem-Solving: A forward-thinking mindset with the ability to anticipate challenges and implement solutions independently.
- Technical Proficiency: Intermediate to advanced skills in Microsoft Outlook, Teams, and Copilot.
- Adaptability: A flexible approach to hybrid working and the ability to support the wider PA team during peak periods.
- Task Ownership: Proven ability to delegate transactional tasks while maintaining ultimate accountability for the quality and timing of the output.
