Based in London, Canary Wharf, this is an, office based, position for 28 hours per week supporting the Operations team by working closely with the HSE and Facilities Manager to provide a high-quality Facilities service for staff, visitors and contractors. Day to day duties will include:
- Space Planning - floor plan updates, enabling flexible working and physical changes where necessary.
First Aid, Defibrillator, Fire Warden and DSE Assessor qualified.
Carry out investigations into any Accidents, Near Misses and Hazards
Provide existing staff and new employees with HSE Induction Presentation
- Carbon Footprint / Energy Reporting - implementing and supporting green initiatives
- Assets Lists - Managing equipment and furniture asset lists
Ensure that all meeting room booking/procedures are correctly followed, including management of the meeting room diary and provision of AV and technical support and refreshments as required.
Ensure that all meeting rooms are monitored on a daily basis and tidy prior to each internal meeting and each event involving external visitors.
Manage and book internal and communal space meeting rooms on a daily basis
Arrange for catering suppliers
- Office Services - Managing stationary and courier requests
- Cleaning and Maintenance -
Liaise with external service partners on a regular basis, attend meetings and escalate grievances/issues and to assist the HSE and Facilities Manager with the monitoring and maintenance of the cleaning contract.
Assist in project planning for any office moves, relocations, storage and external archiving.
To ensure that all planned repairs and maintenance is completed in accordance with the Planned Preventative Maintenance (PPM) schedule
Oversee Annual PA Testing
Manage any HVAC temperature changes to the floor.
- Finance /Purchase Order Generation - Generate and manage purchase order system
Lifting of heavy boxes and move furniture
Carry out postal duties
Collection of Daily Fruit for staff from building reception
This is initially a short term temporary assignment starting ASAP until the end of June
The ideal candidate will:
- Have previous experience in a facilities role
- Be available immediately or at short notice and open to a Temporary role.
- Have strong PC skills
- Have strong communication skills
