This Project Coordinator is a critical role that provides essential resource support to ensure strategic alignment, PMO governance, and the seamless delivery across a large-scale, multi-year technology program of work.
In this major, multi-year program, day-to-day challenges and unforeseen activities inevitably arise. As the Project Coordinator, you are the key to making sure "nothing falls between the cracks". You will keep the program machine running smoothly, support the project team, and ensure strict alignment with all governance protocols.
This role is a fantastic opportunity for an established coordinator who has previously worked on large-scale technology programs or an aspiring Project Manager looking for a high-impact personal development and learning experience.
Project Administration & Governance: Maintain the "project machine" in alignment with protocols. Oversee project registers, including schedules, action items, risks, decisions, change control, and document libraries with strict version control.
Financial Management: Act as the program's "first line of defense" by analyzing all incoming charges to verify their validity and ensuring the program only funds approved items. Prepare Financial Forecasts for Project Executive review and sign-off.
Planning & Organization: Anticipate program needs, flag upcoming deadlines early, and support the PM and team to ensure SteerCo meetings, workshops, and reporting cycles run like clockwork.
Communication Glue: Serve as the central communication link across the project. Securely manage communication flows, take highly accurate minutes, and confidently engage with both senior stakeholders and technical teams.
Skills & Experience:
Demonstrable experience in project administration/coordination within a complex technology or infrastructure environment.
Solid digital and technical proficiency, including confidence with MS Teams, Excel, PowerPoint, Project/Planner, SharePoint, and Primavera P6.
Ability to produce high-quality slides, reporting packs, and project documentation.
Proven experience managing tight timeframes around project reporting and procurement activities.
Behavioral Traits & Mindset:
Ownership Mindset: You don't just execute tasks to hand them off; you take accountability for quality, look for process improvements, and manage tasks autonomously-operating at the level above to drive progress.
High Emotional Intelligence: A calm-under-pressure, "can-do" attitude with the ability to maintain positive energy during complex delivery phases.
Comfort with Ambiguity: The ability to operate effectively when things aren't fully defined upfront.
Diplomacy & Trust: Strong relationship management skills that balance urgency with respect, adapting your style to fit different personalities.
If you are ready to take ownership of this exciting portfolio and drive progress within a supportive team, we want to hear from you.
