Key Responsibilities
- Manage day-to-day office administration, facilities operations, and workplace services, ensuring an efficient and professional working environment.
- Coordinate third-party facilities vendors and contractors covering cleaning, HVAC, physical security, catering, and other workplace services.
- Manage vendor relationships, service agreements, performance standards, and facilities-related requests.
- Coordinate office space planning, workstation allocation, employee moves, and site expansion projects.
- Maintain workplace health, safety, and security procedures in accordance with Japanese regulations and corporate standards.
- Process procurement requests, monitor administrative and facilities budgets, and reconcile supplier invoices.
- Act as the primary on-site contact for employee facilities inquiries, workplace service tickets, visitors, and reception requirements.
- Work closely with internal stakeholders and external vendors to resolve workplace issues efficiently.
- Identify opportunities to improve facilities processes and enhance the overall employee workplace experience.
Required Skills and Qualifications
Experience:
- 3+ years of experience in office administration, facilities management, workplace operations, or a related role.
- Hands-on knowledge of building and office facilities operations, including vendor and contractor management.
- Experience supporting workplace health, safety, security, and regulatory compliance requirements.
- Experience coordinating office space, employee moves, workplace services, procurement, budgets, and/or invoice reconciliation.
- Proficiency with workplace productivity tools such as Microsoft Office 365 or Google Workspace.
- Experience using workplace service management or ticketing systems.
- Bachelor's degree or equivalent qualification.
Soft Skills:
- Excellent interpersonal, communication, and customer service skills when supporting employees, visitors, vendors, and stakeholders.
- Strong organisational skills with the ability to manage multiple priorities and facilities requests simultaneously.
- Proactive problem-solving approach with excellent attention to detail.
- Ability to coordinate effectively with internal teams, external contractors, and service providers.
- Service-oriented mindset with a focus on delivering a positive and efficient workplace experience.
Language Requirements:
- Japanese: Fluent-level proficiency required for local facilities operations, vendor coordination, and employee communication.
- English: Intermediate to business-level proficiency required for professional communication within an international corporate environment.
Preferred Skills & Qualifications
- Experience working within technology, digital infrastructure, data centre, critical facilities, or modern corporate workplace environments.
- Experience supporting high-availability or operationally critical sites.
- Relevant facilities management or workplace certifications, such as IFMA, FMA, or recognised local health and safety qualifications.
- Experience coordinating office expansion, relocation, or workplace improvement projects.
- Familiarity with modern workplace technologies and facilities management systems.
