This is not your average "data entry" admin role. We are looking for the "Communication Glue" of our program-someone who acts as a first line of defense for governance, a wizard with project financials, and a proactive planner who catches issues before they become risks.
You will work directly with the Program Manager and workstream leads to ensure our "program machine" runs like clockwork. Whether you are an experienced Program Coordinator or an aspiring Project Manager looking for a career-defining learning experience, this role offers a front-row seat to large-scale digital transformation.
Keep the Machine Running: Own the program hygiene, ensuring all schedules, action items, risks, and decisions are captured accurately and followed through to completion.
Financial Guardianship: Act as the first line of defense for program spend. You will analyze charges, validate invoices against approvals, and maintain the financial forecast for executive sign-off.
Governance & Reporting: Support the PM in running SteerCo meetings and workshops. You'll produce high-quality reporting packs and ensure all activity aligns with Ausgrid governance protocols.
Document Mastery: Manage version control, file structures (SharePoint/Teams), and project schedules (P6/MS Project) with exceptional attention to detail.
Stakeholder Engagement: Build trust across the program by being the reliable point of contact for both technical teams and senior stakeholders.
The Ownership Mindset: You don't just "do tasks"-you own outcomes. You operate at the level above your current role, anticipating needs before they are articulated.
Technical Proficiency: You are a power user of MS Excel, PowerPoint, and Teams. Experience with Primavera P6 or MS Project is highly regarded.
Financial Literacy: You are comfortable with numbers and can spot inconsistencies in financial reports or billing.
Ambiguity Tolerance: You remain calm under pressure and are comfortable navigating the "grey areas" inherent in a major, evolving program.
Communication Excellence: You write clearly, speak confidently, and can balance urgency with diplomacy.
